Privacy and cookie policy

This notice describes how the Meta-Build website processes personal information. The Institute of Communication and Computer Systems (ICCS / ΕΠΙΣΕΥ), through its Energy Policy Unit (EPU), is responsible for the website and Contact processing. Contact us at contact@meta-build.eu. This existing project address remains in use during the branding transition.

Website operation and cookies

Technical cookies are used where needed for account sessions and security. Klaro stores your privacy choices for up to 180 days. Optional analytics and YouTube content require your permission. You can review or withdraw that permission through “Cookie settings” in the footer. Withdrawing permission stops subsequent optional loading; it does not erase information already received by an external provider.

When YouTube content is enabled, your browser communicates directly with YouTube, which may process connection and usage information under its own privacy information. External social links do not load embedded social widgets; following a link opens the external service.

Contact requests

When you contact us, we process the name, email address, subject and message you provide to respond to your request. A receipt identifier, timestamps, delivery status and delivery attempt history are stored before queued email delivery. These records support reliable handling and prevent accidental duplicates. Raw form requests and session tokens are not stored in submission records. Access is restricted to authorised EPU staff.

Contact requests, associated delivery records and project emails are retained until the manual closure of the project, when EPU deletes them. You may request earlier deletion, subject to any applicable obligation to retain information. Website receipt cleanup does not itself remove mailbox messages or backups; those require separate EPU action.

Hosting, backups and logs

IPHost hosts the website and provides daily hosting backups with a rolling seven-day retention. EPU's own backups are made manually and are deleted at project closure. Archived access logs are currently kept without automatic deletion. Logs may contain IP addresses, requested URLs and timestamps. Hosting logs and provider backups are managed separately from website receipts and EPU's own backups; project closure does not automatically erase those provider records.

Optional analytics

With your permission, Microsoft Clarity collects website interaction information, such as visited pages, clicks and scrolling, to help improve the website. It can use cookies and process device and connection information. It is not described as anonymous by default. Analytics is excluded from Contact, account and administrative pages, and form fields are masked. See Microsoft's privacy statement for its processing and international-transfer information.

Your rights

Depending on the circumstances, you may request access, correction, erasure, restriction or portability of your personal data, object to relevant processing and withdraw consent. Contact EPU to exercise your rights. You may also complain to the competent data protection authority. See the European Commission's data protection information for an explanation of these rights.
